How to read your email

Instructions for email users at prevtecmicrobia.com

You only need two things to read and send email from your Prevtec microbis's email account::

  • your email address, which should look like this: username@prevtecmicrobia.com
  • a password consisting of seven numbers and (case-sensitive) letters.

There are basically two ways to read your email and send email messages from your account:

Using Webmail

You can read your email from any computer in the world which is connected to the Internet :

  • go to www.prevtecmicrobia.com
  • in the address bar of the browser, type the word webmail right after the first slash (erasing any other character if necessary) so that it reads like this:

  • press Enter and a new window will appear, like this:

  • enter your full email address in the first box, as the user name, and your password in the second box, like this:

  • you will be presented with a new window offering you 3 choices of programs to read your email: any one will do, just try them out by clicking the link under each of them

  • that's it: the email programs themselves should be quite self-explanatory if you ever used a program like this (GMail, for example).

Of course, not only can you read your email from these programs, but you can also send email from your Prevtec microbia's email address.

You can also do three other useful things from the webmail panel:

  • change your password to access your email
  • forward all your Prevtec's email to another email address
  • set an autoresponder to automatically send a message every time you get an email (for example, when you are away).

Configuring Outlook

If you use Microsoft Outlook, you might prefer to configure it to manage your email from Prevtec, along with email from your other accounts. Depending on the version of Outlook you are using, there are two ways to access the configuration settings in Outlook (click on your version to display):

By following the above instructions for your version of Outlook, you will get a screen that looks (more or less) like this:

Enter the following information :

  1. your name as you want it to appear in the From field of your email messages
  2. your complete email address
  3. mail.prevtecmicrobia.com as both the incoming server and the outgoing server
  4. your full email address as the username (the default suggested by Outlook will not do)
  5. your password as supplied by Prevtec
  6. click Additional settings...

You will get a new window, with the first tab selected. Enter the name of the organisation (7).

Then select the next tab (Outgoing server) and check the box requiring authentication for the outgoing server (8). Leave the default selection to use the same settings as the incoming server. Do not click OK, go to the last tab.

There is nothing to do with the Connections tab. On the last tab (Advanced options), there are two important settings :

  1. set the outgoing server (SMTP) port to 26 (default of 25 will not do)
  2. check the box to leave a copy of your email on the server (so you can eventually read them from webmail or a different computer) and check the box to delete them after a while (indicate a number of days, preferably 10 or 15).

That's it. Click OK and close all windows. Click Send/Receive and you should get all your email saved on Prevtec's server. If you just got your account, you should at least receive a welcoming message.
